Registration instructions and conditions

Reservations will be handled on a “first come – first served” basis. Each form is to be filled in individually by only one participant. Registration form works best with Google Chrome browser with freshly cleared cookies or in incognito (or similar) mode. If you have problems with completing the on-line form, please contact the local conference secretariat at Confedent International:

Registration fees

Early Registration fee period: – 15/05/2026
Regular Registration fee period: 16/05/2026 – 16/08/2026
Registration is open until August 16th, 2026.

* The student rate applies to undergraduate (Bachelor level, first degree) full-time students only. Students studying at Masters or PhD level, as well as those pursuing a second Bachelor’s degree (after already completing one), are not eligible for this discount. Valid student status needs to be proved during the registration.

Invited speaker (Keynotes), Exhibitor & Organizer registrations are for authorised persons only.

Additional programme & fees

Conference Dinner, included in the registration, limited seats. Dinner does not have a separate fee, but participation information is still required for catering and registration purposes on the registration form.

Pre-Conference, 50 EUR (incl. VAT 25,5%)

Invoicing fee, if fees are paid via invoice (bank transfer). More details on the next chapter.

Payment of registration fees

When choosing your payment type, please note that invoice option is available only until July 16th, 2026.

Invoice payment:

• Invoicing fee EUR 19 will be added to all invoices. Note that an additional fee of EUR 19 will be charged for any changes to a sent invoice (e.g. invalid invoicing address or additional data not given during registration).
• The invoice reference number must show as identification on bank transactions. The invoice will include all necessary international bank information for the bank transfer. All bank charges should be covered by the payer.
• Registration and other reservations will be confirmed only once a full payment has been received.

Online credit card payment:

• The following payment options are accepted: Visa, MasterCard and Google Pay.
• Prepaid credit cards are not accepted.
• Online credit card payments are processed via secure payment page at the end of the on-line registration form.

Cancellation policy and insurance:

All cancellations must be made in writing to nsqh2026@confedent.fi.

* For cancellations made by or on July 16th, 2026, full refund (50 EUR handling fee will be deducted)
* For cancellations made after July 16th, 2026, no refunds will be made.

100% payment to be made if fees not paid at the time of cancellation.

No-show is not considered a cancellation. 

Denial of a visa application to Finland does not entitle a participant to any refunds.

The conference organisers cannot accept liability for personal injuries sustained, for loss of, or damage to property belonging to participants, either during or as a result of the Conference. The registration fees do not include insurance of any kind so please check the validity and coverage of your own travel insurance.

The organisers do not take responsibility for force majeure reasons for cancellation of the event (natural disaster, outbreak of severe contagious epidemic, major strikes etc.). In such a case, the organising committee reserves the right to decide about refunding of paid registration fees.
