According to the General Data Protection Regulation (GDPR) we need your consent in order to collect your registration data. Please give your consent above. Without your consent we cannot collect your registration data, and thus registration is not possible and you cannot proceed on the registration form. All participants are added on conference mailing list in order to receive information about the conference.

At this point registration only to Results Seminar of the Strategic Research Programme Food and Food Policy Forum is possible as online participant.

Nordic-Baltic Food Systems Conference NFN2025 registration includes registration to Results Seminar of the Strategic Research Programme Food (in Finnish) (26.5.2025, 9-11:30) and Food Policy Forum (26.5.2025, 12:30-16:00) and you can choose your participation more detailed in those at the following pages. Registration types: Participant (NFN 2025), PhD student (NFN 2025), Commercial participant (NFN 2025), Keynote (NFN 2025)

You can also register as a participant to Results Seminar of the Strategic Research Programme Food and/or Food Policy Forum only without participation to the Nordic-Baltic Food Systems Conference NFN2025. Registration type: Registration to Results Seminar of the Strategic Research Programme Food (am, in Finnish) and Food Policy Forum (pm) only (26.5.2025)

Commercial participant registration means an attendee representing a commercial, private sector organization, whose participation fee is covered by the organization, and who participates with the organizations name in the name tag.

 

The registration fees are invoiced by Confedent International (VAT reg. nr. FI0799293-8) on behalf of the local organiser for NFN 2025, University of Helsinki (VAT reg. nr. FI0313471-7).

The organisers reserve the right to produce a list of participants to be given out to the registered participants at the event. The list would include first name, last name, organisation and country.

If you do NOT wish to have your name included in the list, please indicate this above.

Invoicing Details, if needed

 

If you register only to Results Seminar of the Strategic Research Programme Food and/or Food Policy Forum or as a keynote (NFN) without any fees to be paid, the invoicing details are not needed.

 

The payment options are payment by credit card (Visa, Mastercard, Googlepay, no prepaid cards) or against invoice via wire transfer (cheques will not be accepted). You will receive a receipt once the payment is processed.

If you are paying by credit card, you do not have to fill in the invoicing address unless you need the information to appear on the receipt. 

 

If you wish to pay against invoice, kindly fill in the invoicing address fields and your invoice reference (if needed). The invoice will be sent to your e-mail as a PDF document and EUR 19 invoicing fee will be added to the invoice. Note that an additional fee of EUR 19 will be charged for any changes to a sent invoice (e.g. invalid invoicing address or needed data not given below).

Only Finnish participants can request an e-invoice (verkkolasku) by giving their full e-invoicing information (EDI/OVT, VAT reg/y-tunnus, operator) in the invoicing address fields. Sending e-invoices to organisations outside Finland is not currently possible.

PhD Networking Events do not have a separate fee, but participation information is still required for catering and registration purposes.

 

Conference Dinner ticket fee is 88€ (0€ for keynotes) and is only available for Scientific Conference registration types (NFN).

Accommodation

Special rates have been negotiated with different hotels in Helsinki for Nordic-Baltic Food Systems Conference attendees and you can only get these rates shown here via this form and booking via Confedent International. If you do not need accommodation via us, please choose "No Accommodation Required" option near end of the page so you can proceed on the next page.

 

Booking calendar use: Please fill in your arrival and departure dates and click "Search", then make your selection from the choices given that appear below. If there is no availability on your chosen dates for a certain room, you can try another dates as we have limited quantity of each room for each day and the amounts may vary. Hotel details and rates can also be found at the Conference website. Hotels do their best to accommodate any special requests or preferences regarding the rooms.

 

The rates shown below are for your whole stay and shown in euro. To guarantee your hotel reservation, a deposit of one night's room rate is required and that is the amount you will pay here. Reservations without a paid deposit cannot be confirmed. You will pay rest of the nights in person at the hotel and the deposit will be deducted from the total hotel bill, that is to be settled at the hotel upon arrival. If you are paying against invoice, kindly note that your reservation is guaranteed only after we have received the deposit payment. If you want to pay all the booked nights prior, please contact us nfn2025@confedent.fi before making a hotel reservation via this form. Please note the cancellation and refund policy if you want to pay all nights prior. You will receive a confirmation email after having completed your booking - reservation number is not needed as your room will be booked under your name at the hotel by us.

 

The hotel room rates include VAT and breakfast.

 

Rooms are reserved on a first come - first served basis. For late bookings, availability cannot be guaranteed.

 

When sharing a double room, indicate your roommate's name in the "sharing the room with" field at the bottom of the page and make sure that only either one of you will do the accommodation booking. If you and your roommate both book your own rooms via this form, you will have two separate rooms booked, even if you write down each others' names in the "sharing the room with" field. Let's try to avoid any double bookings!

As a keynote speaker you are entitled to up to three nights’ accommodation (NFN keynote 3 nights, Food Policy Forum keynote, 2 nights) for 1 person at the hotel Scandic Grand Central at a complimentary free rate, but if you wish to stay longer on your own expense it is possible. You can check the rates from Confedent International nfn2025@confedent.fi. If you book more than offered free nights we will contact you via email about the payment options for the rest of the nights.

* For cancellations made by or on April 30th 2025, full refund (50 eur handling fee will be deducted) * For cancellations made after April 30th 2025, no refunds will be made. 100% payment to be made if fees not paid at the time of cancellation. No-show is not considered a cancellation. Denial of a visa application to Finland does not entitle a participant to any refunds. The conference organisers cannot accept liability for personal injuries sustained, for loss of, or damage to property belonging to participants (or their accompanying persons), either during or as a result of the Conference. The registration fees do not include insurance of any kind so please check the validity and coverage of your own travel insurance. The organisers do not take responsibility for force majeure reasons for cancellation of the event (natural disaster, outbreak of severe contagious epidemic, major strikes etc.). In such a case, the organising committee reserves the right to decide about refunding of paid registration fees.

Payment

 

If you registered as a participant without any fees to be paid, you can move on and submit the registration.

 

Invoice payment

If you choose the invoicing option, we will send you an invoice by e-mail with the invoicing address you have given on the first page and add the invoicing fee (EUR 19) to the amount invoiced.

 

Online credit card payment

To pay by credit card (Visa, Mastercard, Google Pay, no prepaid cards), please choose "Online credit card payment", Proceed to Pay" and add the payment card details to the correct boxes that show up or login to your Google Pay account and do the payment. Connection is secure between the registration system and the payment service provider. After payment you can submit the form.
If you have trouble with paying make sure your payment limit is high enough for the payment and international online payments are allowed to do on the card. If your credit card payment fails, please contact your credit card issuer and check amount or international transaction limits applied to your card before trying again. If the payment is not successful, you can also contact us via email at NFN2025@confedent.fi and we try to help, but the first contact with payment failures would be to contact the card issuer if the registration form is working. 


NOTE! All payments need to be made before the conference. If you cannot pay the invoice prior to the conference, please pay by credit card.
