By filling this form you will now confirm your participation. It will take only 5 minutes and will help us plan your onsite schedule according to your interests and availabilities.

The ICN 2025 Congress t-shirt needs to be worn during volunteer shifts.

Please select below the days you are able to volunteer.

Morning shift is approximately from 7.00 to 13.00 and afternoon shift approximately from 13.00 to 19.00 - times may slightly vary depending on a day.

Please select only the days you will definitely be able to volunteer on!

NOTE: we need volunteers especially for 9.-13.6.! For other days we already have enough.

Please give below any additional info regarding the volunteering days.

E.g. if you have maximum number of shifts you wish to take, if you wish to work whole days in stead of half days.

ICN 2025 is an International Congress, with attendees from all over the world!
The Congress has 3 official languages; English, French and Spanish.
Please inform below your language skills.

Lunch and coffee breaks are included for all volunteers during confirmed shifts. There will be a choice between meat and vegetarian lunches. In so far as possible, we will do our best to accommodate specific dietary requirements though this cannot be guaranteed. 
Please enter only strict dietary requirements that are essential to your health and wellbeing (e.g. food allergy) by selecting "Other" and writing down needed information to the field that appears.

If you do not have any allergies or food requirements, please leave this empty.

Insurances
The volunteer understands that volunteering does not include any kind of medical/accident insurance. The volunteer is liable to make sure she/he has valid insurance covering any accident, medical needs both during the ICN Congress volunteering days, and any trips directly related to volunteering.  Haaga-Helia and FNA are however providing public liability insurance (household insurance) for volunteers affiliated to one or the other entity from June 4-14 2025.

Confidentiality

The volunteer commits to keep all the confidential information she/he receives about the association's activities and congress attendees as confidential. The volunteer's personal information is also confidential within the association. The obligation to remain silent remains even after volunteering.

In general

The volunteer commits to the days he/she has informed to be available for volunteering. The volunteer understands that if he/she is not able to volunteer during his/her scheduled shift, it will cause additional work for the Congress Organisers. In case of illness the volunteer commits inform the contact person immediately.
The volunteer commits to respect all attendees and ICN staff members, regardless of their ethnicity, age, gender, sexual orientation or other matters. 

Compensation
• Lunch and coffee breaks during work days
• Volunteer T-shirt(s) (quantity based on number of work days)
• Attendance to sessions (see details below)
• Certificate of completion of your tasks
• HSL Travel card from 7 to 14 June (ABC regions)
Please note:
• Any other travel or accommodation costs are to be paid by the volunteer.
• Any cash value for items above not collected/used will not be provided.

Attendance to sessions
Please note that as a volunteer, you will be provided with a few opportunities to attend sessions, view e-posters, etc depending on work hours completed and daily availabilities. Attendance to sessions is available June 10-13.
The rule of thumb is that for each day worked, you will be given ½ day to enjoy the congress. The time slots you will be able to join the congress will be provided maximum 24-hours in advance. It is important to note that, should you wish to choose days and sessions you want to attend, you need to be registered as a participant.
